Event Assistant

Job Purpose

The Jr. Event Coordinator assists with the planning, implementation, and tracking of specific deliverables of both Client Events and Unseen Heroes Events which have a outlined beginning, middle, and ending point.

Primary Duties and Responsibilities

The Jr. Event Coordinator performs a range of duties including some or all of the following:

Assist with Planning the Event

  • Assist with scope, objectives, and measurables of the event with management

  • Assist with event plan which identifies the activities needed to complete the event

  • Assist with outline resources required to complete the event

  • Assist with event scheduling

  • Assist with communication schedule to update management, event staff, and the client

Assist with Staffing the Event

  • Assist with coordinating event staff and/or volunteers

  • Assist with identifying qualified consultants to work on the event as appropriate

Assist with Implementing the Event

  • Assist with executing the event according to the event plan

  • Assist with documenting event activities

  • Assist with the setup of files to ensure that all event information is appropriately documented

  • Assist with reporting the progress of the event

  • Assist with reviewing the quality of the work completed with the event team on a regular basis

Assist with Controlling the Event

  • Assist with writing event recap reports on the event

  • Assist with monitoring all approved budgeted event expenditures

  • Assist with monitoring and report on budget

  • Assist with ensuring that all financial records for the event are up to date

Assist with Evaluating the Event

  • Assist with ensuring that the event deliverables are on time, within budget

  • Assist with evaluating the outcomes of the event as established during the planning phase

Must be able to manage people; including staff in planning and decision-making processes.

Must possess excellent verbal and written communication skills.

Must possess ability to present oneself as well as the company in a professional manner.

Physical Demands

  • Occasionally required to sit.

  • Occasionally required to reach with hands and arms.

  • Occasionally required to bend, lift or climb.

  • Occasionally required to lift moderate weights (25-50 pounds).

  • Hand coordination required.
