Event Manager

Job Purpose
The Event Manager oversees the planning, implementation, and tracking of specific Events which have a beginning, an end and specified deliverables.

Primary Duties and Responsibilities
The Event Manager performs a wide range of duties including some or all of the following:

Plan the Event

  • Define the scope, objectives, and measurables of the event with Director of Events

  • Create a detailed event plan which identifies the activities needed to complete the event

  • Determine the resources (time, money, equipment, etc) required to complete the event

  • Develop event schedule and review management and all other staff

  • Establish a communication schedule to update management, event staff, and the client

Staff the Event

  • Manage Event staff and/or volunteers

  • Contract qualified consultants to work on the Event as appropriate

Implement the Event

  • Execute the event according to the event plan

  • Develop forms and records to document event activities

  • Set up files to ensure that all event information is appropriately documented and secured

  • Report the progress of the event to management, event staff, and the client

  • Review the quality of the work completed with the event team on a regular basis

Control the Event

  • Write reports on the event for management

  • Monitor all approved budgeted event expenditures

  • Monitor budget projections and report actual projections

  • Ensure that all financial records for the event are up to date

  • Prepare financial reports and supporting documentation

Evaluate the Event

  • Ensure that the event deliverables are on time, within budget

  • Evaluate the outcomes of the event as established during the planning phase

Must be enthusiastic advocate of the local food movement and Sacramento agriculture.

Must be reliable, self-motivated and have good communication and customer service skills .

Must be able to develop, design, and produce creative solutions.
Must be able to translate concepts and information into images.

Must be able to work within approved budget.

Must posses the ability to develop and implement cost saving measures.
Must be able to conserve company resources.
Must be able to handle frequent change, delays, or unexpected events.
Must be able to complete events on time and budget.
Must be able to prioritize and plan work activities.
Must be able to use time efficiently; Plan for additional resources; Set goals and objectives.

Must be able to identify and resolve problems; Develop solutions.
Must posses accuracy and thoroughness; look for ways to improve and promote quality.
Must be able to manage people; including staff in planning and decision-making processes.
Must posses desire to improve processes, products and services.
Must possess excellent verbal and written communication skills.
Must possess ability to present oneself as well as the company in a professional manner.

Physical Demands
Occasionally required to sit.
Occasionally required to walk.
Occasionally required to use hands to finger, handle, or feel.
Occasionally required to reach with hands and arms.
Occasionally required to bend, lift or climb.
Occasionally required to lift moderate weights (25-50 pounds).
Hand coordination required.
Specific vision abilities required for this job include: close vision, distance vision, ability to
adjust or focus.

Job Qualifications
Associates Degree Combined experience/education as substitute for minimum education
Experience: 1-3 Years.
